1. Who we are
This Privacy Policy explains how Linda Kilp, ABN 18 873 934 399, trading under the registered business name Sunflower Collective Group and marketing as Sunflower Collective (we, us, our), handles personal information.
We are committed to handling personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
2. What we collect
We only collect personal information that we reasonably need. This may include:
- Enquiry and booking details: your name, organisation, email address, phone number, and the content of your message, when you use our enquiry form, book a call, or contact us directly.
- Engagement information: details needed to plan and deliver training, such as participant numbers, session dates, venue, and any accessibility or content sensitivities you tell us about.
- Billing information: the details needed to invoice your organisation.
We do not ask for, and ask that you do not send us, sensitive information about individuals (such as health information) unless it is genuinely necessary for us to deliver a session safely.
3. How we collect it
We collect personal information directly from you, through the enquiry form on this Website, our booking page, email, phone, or in the course of delivering training. Where your organisation provides us with details of participants, we rely on your organisation having the authority to do so.
4. Why we use it
We use personal information to:
- respond to your enquiry and arrange a call;
- prepare proposals, and plan, tailor and deliver training;
- issue invoices and keep business and tax records; and
- follow up after a session and, where relevant, discuss further training.
We do not sell personal information, and we do not use it for unrelated marketing without your consent.
5. Information shared during training
Participants sometimes share personal experiences during our sessions. We treat what is shared in the room as confidential. We do not report individual participant disclosures back to their employer, except where we are required to by law or where there is a serious and imminent risk to someone's safety.
Any feedback we give an organisation after a session is provided at a group level and does not identify individuals.
6. Who we share it with
We may share personal information with service providers who help us run the business - for example our website host, booking scheduler, email provider, and accounting software. These providers only handle the information needed to provide their service to us.
Some of these providers may store data outside Australia. We take reasonable steps to use reputable providers with appropriate security practices.
We may also disclose personal information where required or authorised by law.
7. Website, forms and cookies
Enquiries submitted through this Website are processed by our website host and delivered to us by email. This Website does not use advertising or tracking cookies.
Our booking page is provided by a third-party scheduling service. When you book a time, that service collects the details you enter under its own privacy terms.
8. Storage, security and retention
We take reasonable steps to protect personal information from misuse, loss, and unauthorised access, including access-controlled accounts, reputable cloud providers, and limiting who can see the information.
We keep records for as long as we need them for the purpose collected, and for as long as required by Australian tax and business record-keeping laws. After that we delete or de-identify them.
9. Accessing and correcting your information
You can ask us for a copy of the personal information we hold about you, and ask us to correct it if it is wrong or out of date. Contact us using the details below and we will respond within a reasonable time. There is no charge for making a request.
You can also ask us to stop contacting you at any time, and we will action that request.
10. Complaints
If you think we have mishandled your personal information, please contact us first so we can try to put it right. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.
11. Changes to this policy
We may update this Privacy Policy from time to time. The current version is always published here with the "last updated" date shown above.
